Privacy Policy

This privacy policy sets out how Danceforce uses and protects your data. We are committed to ensuring that your privacy is protected.

What data do we collect?

We collect the following information for a class enquiry and arranging a trial lesson:

  • Parent's name, child's name and age
  • Contact information including email address and telephone number
  • Demographic information such as post code, preferences and interests

We collect further information which is filled out on enrolment:

  • Mailing address
  • Medical conditions
  • Dance training history
Where do we store the data?
  • Danceforce uses Thinksmart Software (DanceBiz studio management software)
  • Xero for accounting
  • Mailchimp for bulk emails
What we do with the information we gather?

We require this information to understand your needs and provide you with a better service, including:

  • Business administration
  • Processing payments
  • We may use the information to improve our products and services.
  • We may send promotional emails about new products, special offers or other information which you have provided.
  • Marketing, including images with consent
  • Danceforce shares relevant data with the RAD, ISTD, and LAMDA for examination purposes.
  • Your personal details are not sold, traded or transferred to any other outside organistions.
How long do we keep the data for?
  • Data for paying customers is retained for tax and audit purposes (6 years)
  • For datasets of prospective cusomers the retention period is 1 year.
Security

We are committed to ensuring that your information is secure. in order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

Controlling your personal information

You may change your mind at any time by:

  • clicking "unsubscribe" at the bottom of all marketing emails
  • By writing to or emailing us directly

You may request details of personal information which we hold about you. If you would like a copy of the information held on you, please write or email us.

Please ensure that Danceforce receives any changes to pupil's contact details .

School Policy & Conditions of Registration

Fees
  • Invoices will be emailed before half term. Payment is due at half term. A 10% surcharge is added for late payment. Cheques should be made payable to Danceforce.
  • Money is not refunded for classes missed. (On any occasion when the venue or time of a particular class has to be changed, an alternative will be arranged.)
  • On registering with the school, a £25 Registration Fee and a full term's fees are due.
  • Pupils wishing to take exams will be expected to attend additional exam sessions and will only be entered when the teacher considers them to be ready.
Notice
  • Parents are required to notify Danceforce in writing by half term break, if their child wishes to withdraw from tuition. If the required notice is not given, a half term's fees will be charged in lieu of notice.
  • Permission is required before a pupil takes part in classes elsewhere or external dance performances.
Behavioural Issues

If a child is being disruptive, destructive, or dangerous to themselves, other children, or staff members during class or special events, we will make every effort to work with parents and the child in question to resolve this behaviour. If the behaviour persists or other undesired
behaviours develop, the child in question will be asked to take a break from the class or event.

Responsibilities
  • We make every reasonable effort to ensure the safety of pupils in the classroom. Parents or guardians are ultimately responsible for seeing the safe entry and exit of their children.
  • When bringing your child to class please ensure that the teacher is present in the hall. Do not leave your child unaccompanied.
  • Please reinforce regularly that in the extreme case of you being late your child must return to class and inform the teacher.
  • Due to the nature of teaching performing arts it is sometimes necessary to correct positions physically. This is always conducted with the utmost care and professionalism.
    Parking
  • PARKING AT SWINNERTON HALL
    PLEASE BE CONSIDERATE. DO NOT WAIT IN RESIDENT PARKING BAYS WHILST YOUR CHILD IS IN CLASS. PARK ON BURTON RD.
Changing areas at Swinnerton hall
  • Changing areas are very limited. Please arrive ready changed where possible. To maximise class times please can you change from your outdoor shoes to your dance shoes in the lobby before class.
    Use the toilets / kitchen to change in. There must be no changing in the lobby outside the John Hunt Room, as it is part of the church, arrive ready dressed for class and use the Swinnerton Hall toilets.



Security
  • Parents need to come into the building to collect their children/ teenagers, Danceforce pupils should not wait on the road to be collected. 
    I know that some senior students make their own way home, I would rather they were picked up by parents, but if they do need to make their own way home, please have a safety talk with them and make sure they are dressed properly.
    After class, Infant/Junior Children should wait in the hall with the teacher, senior school children must wait in the lobby where the teacher can see them.
    Danceforce pupils should not be leaving classes in just their leotard & tights.
    I would ask parents to take this opportunity to remind their children how to stay safe and not to speak with strangers. Most importantly you must always come into the hall area to make sure that classes are on  - DO NOT DROP THEM OFF AND DRIVE OFF. 


Parent watching

Parents are invited to watch classes towards the end of term. Please check with teacher involved. Term dates can be found on newsletters and invoices.

Medical

Please inform the teacher and declare details of any medical/physical condition, loss of hearing or any known impediments, for example dyslexia, asthma, fits etc on the enrolment form. (This information will be treated as confidential)

Clothing
  • All pupils are expected to be well groomed and to wear the correct uniform for their classes.
  • Hair should be neat and tidy at all times and worn in the appropriate style for each class.
  • Jewellery must not be worn.

Adult classes

Fees
  • Invoices for a term of classes are emailed to adults on receipt of your class booking confirmation. Please note that there is no registration fee for adult students.
Notice
  • Whilst we do not have a notice period in place for adult classes, we would appreciate notification of leaving as early as possible.
Clothing
  • We suggest that adult students come to classes in comfortable clothing such as leggings and t-shirts and with footwear appropriate to their class ie tap, ballet, jazz.
Medical
  • Please declare details of any medical/physical condition, injuries, loss of hearing or any known impediments, for example, asthma, fits etc on the online enrolment form. This information will be treated as confidential but will be passed on to the relevant teacher. If you have any conditions or injuries listed, please make yourself known to your teacher at the beginning of the first lesson.
